Jan Rudolph works with ZDS Bürosysteme Vertrieb & Service GmbH in Walddorfhäslach, where he is active in the field of office technology. ZDS is a long-established, independent system house with over 40 years of experience, specializing in providing comprehensive services for business communication. These services include IT solutions, software, print and copy technology, and telecommunications, serving clients from small businesses to mid-sized companies.

Jan, you have seen a lot of offices in the course of your career at ZDS. What changes have you noticed the most in the past decade – apart from everything becoming more and more digital?

Less is printed, more is digitised, and documents can be found much more quickly as a result. Faster and more effective working is an important issue. Video conferencing is on the rise. Offices are tidier, mountains of paper are gone. Employees are often no longer assigned to fixed workstations but can work wherever they want – in a home office, on the train or at a flexible workstation on site. When it comes to furnishing offices, there is much more emphasis on chic offices, their aesthetics – there are plants, large pictures, large monitors for presentations, …

Large companies are usually well equipped when it comes to office technology. What should even a small business or solo entrepreneur not be without?

A business should be easy to reach. If you don’t have your own office, you could rent a shared office where the switchboard is always manned. That way, there’s always someone there to answer the phone, and what’s more: you can use the shared office’s printer or coffee machine, for example, via a chip. At the end of the month you receive an invoice for the phone calls, printouts, coffees – everything you’ve used in the shared office that month.

ZDS ist ein traditionsreiches, unabhängiges Systemhaus mit über 40 Jahren Erfahrung, das sich auf umfassende Dienstleistungen für die Geschäftskommunikation spezialisiert hat. Zu diesen Dienstleistungen gehören IT-Lösungen, Software, Druck- und Kopiertechnik sowie Telekommunikation für Kunden aus dem Kleingewerbe und Mittelstand.

Jan, du hast in deiner Karriere bei ZDS unzählige Büros gesehen. Welche Veränderungen sind dir in den letzten Jahren besonders aufgefallen – mal abgesehen von der zunehmenden Digitalisierung?

Es wird weniger gedruckt, mehr digitalisiert und in dem Zug können Dokumente viel schneller aufgefunden werden. Schnelleres und effektiveres Arbeiten sind wichtige Themen. Videokonferenzen nehmen zu. Büros sind aufgeräumter, die Papierberge sind verschwunden. Es gibt oft keine einem Mitarbeiter zugeordneten, festen Arbeitsplätze mehr, sondern die Mitarbeiter können da arbeiten, wo sie wollen – ob in Homeoffice, unterwegs im Zug oder an einem flexiblen Arbeitsplatz vor Ort. Bei der Büroeinrichtung wird viel mehr Wert auf schicke Büros, also Ästhetik, gelegt – es gibt Pflanzen, große Bilder, große Monitore für Präsentationen,…

Große Unternehmen sind ja meist umfassend ausgestattet in Sachen Bürotechnik. Was sollte auch bei einem Kleinstunternehmen oder gar Ein-Mann-Betrieb nicht fehlen?

Auf jeden Fall sollte man gut erreichbar sein! Wer kein eigenes Sekretariat hat, könnte sich in eine Bürogemeinschaft einmieten, in der die Zentrale immer belegt ist. So ist immer jemand da, der Anrufe entgegennimmt und mehr noch: über einen Chip kann man beispielsweise den Drucker oder die Kaffeemaschine der Bürogemeinschaft nutzen und am Ende des Monats bekommt man eine Rechnung über die Telefonate, Ausdrucke, Kaffees – alles, was man in dem Monat in der Bürogemeinschaft in Anspruch genommen hat.
